How to Order / Mail-In Guide

We are honoured to work with hair from your own beloved horse. To ensure the best possible result, please follow these simple steps before sending your hair to our studio.

Step 1 — How Much Hair to Send

  • Send a bundle approximately the thickness of a pencil — this gives us enough to work with and allows for the sorting and cleaning process.

  • More is always better! Any unused hair will be safely returned to you with your finished piece.

  • Hair should be at least 15 cm (6 inches) long for the best results.

Step 2 — Collecting the Hair

  • Hair can be collected from the tail or mane — both work beautifully.

  • For tail hair: trim from the underside of the tail, close to the tailbone.

  • Use clean scissors or shears to cut the hair as close to the base as possible.

  • Try to keep the strands aligned in the same direction — this makes sorting much easier and results in a cleaner, tighter braid.

  • Avoid pulling or yanking — a clean cut gives the best strand length.

Step 3 — Preparing the Hair for Shipping

  • Do not wash the hair before sending — we handle all cleaning in our studio using our own specialized process.

  • Tie the bundle loosely with a small elastic or piece of string at one end to keep strands together.

  • Place the bundle in a small zip-lock bag or envelope to keep it clean and dry during transit.

  • Include a note inside with your Order Number and your horse's name (optional but always appreciated 🐴).

Step 4 — Mailing Your Hair Send your hair bundle to the address provided in your order confirmation email. We highly recommend using a tracked mail service for peace of mind. Standard letter mail works fine — no need for a large parcel.

  • Our Promise: We will personally email you the moment your package arrives safely in our hands.

  • Crafting begins within 2 business days of arrival, and you will receive a notification when your finished order ships.

How Custom Orders Work

Every piece from Sophrosyne Gifts & Memorabilia is handcrafted to order, just for you. Here is what to expect when you place a custom order.

Turnaround Time Most items are completed and ready to ship within 1 week of receiving your order (and all required materials/details). More complex or highly personalized pieces may take slightly longer — we will always communicate with you if that is the case.

Step 1 — Fill In Your Custom Details at Checkout When placing your order, use the Order Notes / Custom Details field at checkout to provide the following:

  • Pyrography pieces (Wall Clocks, Wood Plaques, Signs, Coasters): Names, dates, quotes, or design preferences you would like incorporated.

  • Memorial pieces (Custom Pet Memorial Frame): Your pet's name and any special details.

  • Horsehair jewelry (Rings, Bracelets): Simply complete your order and follow the Mail-In Instructions above!

  • Leather pieces (Celtic Knot Bracelet): Size preferences and any personalization requests.

Step 2 — Email Your Reference Photos If your order requires a reference photo (e.g., Custom Pet Memorial Frame), please email it to admin@sophrosynedesigns.ca after placing your order. Include your Order Number in the subject line so we can match it up right away. We will confirm receipt and let you know if we need anything else before we begin.

Revisions & Approval For complex pieces, we will send you a design preview before we begin burning or crafting. Your satisfaction is our priority.
